If your Missouri dealer license expires on December 31, 2026, here's the hard truth: as of November 4, 2026, your renewal is officially late. The Missouri Department of Revenue (DOR) says renewal applications submitted after November 3, 2026 are considered late and pick up a late fee.
Late isn't lost. But there's no grace period in Missouri, and you can't conduct business as a dealer after December 31, 2026, unless your renewal has been approved. DOR also says this is the last renewal in the current system before the switch to its new FUSION system in early 2027, so it's urging dealers to get it done early.
MOIADA has been looking out for Missouri independent dealers since 1969. Here's what you need to know to get your renewal through the first time.
Key Dates and Late Fees
- July 2, 2026: The online renewal application opened for licenses expiring December 31, 2026.
- After November 3, 2026: Renewals are late. The Missouri Dealer and Business Operating Manual lists a $25 late penalty for applications received from November 3 through December 31.
- After December 31, 2026: The late penalty rises to $50, and you can't operate as a dealer until your renewal is approved.
The bottom line: every day you wait adds risk of a gap in your ability to sell.
Step 1: Make Sure You Qualify, With 8 Sales
Under section 301.550, RSMo, a motor vehicle dealer must sell eight or more motor vehicles in each full calendar year licensed to be eligible to renew for the next year. If you were licensed for only part of the year, the Operating Manual prorates the minimum (for example, 4 sales for 6 months licensed). Fall short and you can't renew for one year.
Step 2: Clear Up Monthly Sales Reports
Monthly sales reports are due by the 15th of the following month, filed electronically, and you must file a "No Sales" report for any month with no sales. A missing or late report carries a $300 penalty per report, and DOR says that penalty must be paid before it will renew your license. Check your MyDMV account now for anything outstanding.
Step 3: Pull a Fresh MACHS Criminal Record for Every Owner
Every owner, partner, or principal officer on the license needs a name-based criminal record from the Missouri State Highway Patrol's MACHS system (machs.mo.gov), issued within six months of the renewal. Owners living outside Missouri need a current background check from their home state.
Two tips straight from DOR's manual:
- Results can come back almost instantly, but some take several days, so start now.
- MACHS keeps your results for only 30 days. After that, you'll have to request and pay for a new one.
Step 4: Confirm Your Bond and Garage Policy Match Your License
Your $50,000 corporate surety bond (or irrevocable letter of credit) must stay in effect through December 31 of the licensure year, or be a non-expiring bond. DOR says it runs monthly checks for lapsed bonds. The name and DBA on your bond must also exactly match your license, because DOR lists "bond information that does not match the business name and DBA" as one of the most common reasons it rejects renewals.
If your bond is up for renewal or your business name has changed, take care of it before you file. Our friends at QuickerBonds can help with your Missouri motor vehicle dealer bond.
You'll also need a current dealer garage liability policy showing the policy number, effective and expiration dates, and the names and addresses of the insurer and the insured.
Step 5: Know Whether You Need an Inspection This Year
Your bona fide place of business (enclosed building, display lot, and permanent sign with letters at least six inches tall) must be certified by law enforcement every year for your first three years, then every other year (franchise and emergency-vehicle-only dealers excepted). If you're due, get Form 5748 completed by the Highway Patrol or an authorized designee. A sheriff or marshal can't do it.
Step 6: Renew Online in MyDMV
Renewals go through the DOR's business licensing portal at mydmv.mo.gov, which calculates your fees. For reference, the Operating Manual's full-year licensure fee for a motor vehicle dealer is $150 for a one-year license or $300 for a two-year license. Dealers who've been in business three years move to a two-year license when they renew at the end of year three. Plate fees are separate.
When your renewal is approved, DOR now mails expiration tabs instead of new dealer plates. Put each tab over the old year in the lower-right corner of the plate, and keep track of every tab just like a plate. DOR warns that misusing a tab can lead to discipline against your license.
The Top Reasons DOR Rejects Renewals
According to DOR's recent dealer newsletters:
- Missing or incomplete criminal record check information
- Business name discrepancies
- Missing or incomplete garage liability policies
- Bond information that doesn't match the business name and DBA on the license
- Missing inspection or certification documentation
Check each one before you hit submit.
